WebApp: Inventory Data Management v2.0

Overview:

This project involved transforming an Excel-based application (which relied on formulas, macros, and user forms) into a fully functional web application with user controls and the ability to add modules as needed.

Originally, the process involved maintaining supplier data, products, and pricing across multiple systems using an Excel application integrated with Access for large data volumes and VBA for automation. However, to enhance the data handling capabilities, I designed and built a centralized web application to take over data storage and processing.

The web application, built with PHP, MySQL, JS, and various libraries, allows users to upload Excel files containing supplier data and run processes based on the desired outcome. The system alerts users upon completion and provides a report detailing the process and any potential data integrity issues.

The web application processes include:

  • Pricing updates for various ERP systems
  • Product barcode comparison and updates
  • Identification of discontinued items
  • Integration of newly available items with ready-made templates for ERP systems
  • Quantity updates and mismatch detection
  • Prioritization of high-demand items based on purchase history, including impact analysis on trading partners

The final report includes a link to download the results for the data team to review before distribution.

Centralized Data Management: By storing data from various suppliers in a centralized dataset, I introduced continuous data integrity checks, such as flagging price discrepancies for investigation if there were differences between live system prices and the last price file.

Problems:

  • Access and Excel Limitations: The original solution in Access and Excel introduced friction in processing, including speed limitations and potential data corruption.
  • Decentralized Data: Data was stored on individual workstations, limiting its utility after project completion and increasing the risk of discrepancies.
  • Processing Quirks: Some processes within Excel and Access exhibited inconsistencies, leading to potential data integrity issues.

Solutions:

  • Web Application Development: Transitioning to a web application ensured all users were always on the latest version of the process, reducing friction and inconsistencies.
  • Cloud-Based Processing: Moving processing to a secure cloud environment improved speed, flexibility, and scalability, allowing users to access the system from any machine, anywhere.
  • Centralized Data Storage: Centralizing data allowed for better reporting, integrity checks, and integration with multiple systems.
  • Standardized Processes: Standardizing the data structure across systems led to more efficient and reliable processes.
  • Expanded Automation: Leveraging additional systems and data connectors significantly increased automation across various databases.
